About the role

Employment: Full Time, Permanent

Location: London Office, Soho

Reports to: CEO (with dotted line to SVP Compliance)

We are looking for a PA and Office Manager to join our team. This combined role will support the CEO and wider Senior Leadership Team with cross time zone calendar management and adhoc supportive administrative tasks. This role will also take responsibility for the management of the Go City London office, ensuring it is a safe and productive place for fellow colleagues to work.

What will you be responsible for /helping us to do?

  • Provide proactive calendar and logistical support for the CEO
  • Arrange travel bookings, transport and accommodation within the UK and abroad - including visas
  • Preparation and support of confidential data and presentations ahead of Board meetings
  • Support Senior Leadership Team meetings, by coordinating agenda items, taking notes, and tracking action items.
  • Host our reception as a first and key point of contact; welcoming, and supporting any guests, calls or queries.
  • Lead on the organisation of company events and socials in conjunction with the wider social committee
  • Take overall responsibility for the day-to-day running of the office to ensure the office is a vibrant and productive space to work.
  • Responsibility for organising and coordinating the office refreshments, stationery, cleaning contracts, maintenance, equipment and other requirements.
  • Take control and management of Health and Safety including maintenance, compliance checks, testing and inspection schedules.

Requirements

  • You’re a team player who’s willing to muck in to support others when they need help, knowing they’ll do the same in return.
  • You can demonstrate experience of providing exemplary PA support for C-suite executives in one or more previous roles.
  • You’ll be highly organised and reliable with a great attention to detail
  • You’re a strong communicator (both verbal and written), with the ability to gauge and adapt your style based on the audience remaining always mindful of our brand reputation
  • Your ability to multitask and prioritise makes Octopuses want more arms!
  • You’re a bit of a whizz when it comes to computer systems, with examples of where you’ve used systems accurately and efficiently before.
  • You will have experience and knowledge in Health & Safety and have examples of applying it in compliant but proportionate ways.

Desirable: (a.k.a. the cherries on top)

  • You hold up to date qualifications in UK Health and Safety
  • You’ll have up to date First Aid & Fire Warden training and relevant certificates, or be ready to undertake the training.
